Please read our terms and conditions carefully before booking your trip with Everest Hiking Service Pvt. Ltd. These policies apply to our trekking, tours, and travel services in Nepal, Bhutan, and Tibet.
General Booking Conditions
To book a Nepal, Bhutan, or Tibet trip, you need to pay 20% of the total trip cost and provide a copy of your valid passport.
The 20% advance payment is non-refundable if you cancel your trip.
For Nepal trips, you can pay the remaining balance after your arrival in Kathmandu.
For Bhutan and Tibet tours, the full payment must be made at least 20 days before the scheduled departure date.
Payment Methods
You can make your payment through bank wire transfer, SWIFT payment, or credit card.

Last-Minute Booking
We accept last-minute trekking and tour bookings whenever possible, depending on availability.
However, last-minute bookings for Bhutan and Tibet tours may not always be possible due to permits, transportation, accommodation, and other travel arrangements.
Postponing Your Trip
If you need to postpone your Nepal trip, you must provide written notice at least 30 days before your scheduled travel date.
A postponement fee of USD 150 will apply.
The remaining amount is non-refundable. However, you may use the remaining balance toward another trip with us in the future.
For Bhutan and Tibet tours, postponement and applicable charges are subject to the policies of our local travel partners.
Trip Cancellation Policy
For a Nepal trip cancellation, you must provide written notice at least 14 days before your scheduled travel date.
A cancellation charge of USD 150 will apply. The remaining amount is non-refundable but may be used toward a future trip with us.
For Bhutan and Tibet tours, cancellation charges are subject to the following conditions:
Tibet tours: 50% of the total trip cost may be charged as a cancellation fee.
Bhutan tours: 20% of the total trip cost may be charged as a cancellation fee.
At least 30 days’ prior notice is required for Bhutan and Tibet trip cancellations.
The remaining amount is non-refundable but may be used for a future trip with us, subject to applicable conditions.
Incomplete or Abandoned Tours
If you are unable to complete your trek or tour due to personal reasons or circumstances on your side, we are not responsible for providing a refund.
Any unused services, accommodation, transportation, meals, permits, or other arrangements are non-refundable.
Unforeseen Circumstances
Sometimes, trips may be affected by natural disasters, severe weather, political situations, transportation disruptions, government restrictions, or other unforeseen circumstances.
If we are unable to operate or complete your trip due to such circumstances, we are not liable for refunds.
However, whenever possible, we will help arrange an alternative travel date or future trip with us.
Travel Insurance
We strongly recommend purchasing comprehensive travel insurance before traveling to Nepal, Bhutan, or Tibet.
Your travel insurance should provide coverage for medical emergencies, trip cancellation, delays, lost baggage, evacuation, and other unexpected travel situations.
For trekking and high-altitude adventures, make sure your insurance policy covers the activities included in your itinerary.
Flight Cancellation or Delay
Domestic flights in Nepal may be delayed or cancelled due to bad weather, poor visibility, technical problems, or other operational reasons.
We recommend adding extra days to your itinerary when planning your trek or tour.
Travelers should also carry sufficient funds to cover additional accommodation, meals, transportation, or other expenses caused by unexpected flight delays or cancellations.
Price Changes
Trip prices may change due to significant fluctuations in currency exchange rates, government regulations, permit fees, transportation costs, taxes, or other unforeseen expenses.
In such circumstances, Everest Hiking Service Pvt. Ltd. reserves the right to adjust the trip price accordingly.
We will inform you of any significant price changes whenever applicable.
Personal Belongings
Travelers are responsible for taking care of their passports, money, electronic devices, luggage, documents, and other personal belongings throughout the trip.
Everest Hiking Service Pvt. Ltd. is not responsible for the loss, theft, or damage of personal belongings during your trek, tour, transportation, or accommodation.
We recommend keeping valuable items secure and carrying appropriate travel insurance.
Important Notice
These terms and conditions apply to trips booked directly with Everest Hiking Service Pvt. Ltd.
If you book your trip through a third-party travel agency, tour operator, or other intermediary, the terms and conditions of that intermediary may also apply.
By confirming your booking with us, you acknowledge that you have read, understood, and agreed to our booking, payment, cancellation, postponement, and travel policies.
